Process Checklists — List

This help page describes how to access, view, and manage operational checklists within the Magni Learning Management System (LMS). Administrators and managers use this page to organize standard procedures, track frequencies, and configure checklist alerts.

Overview

The Process Checklists page is a central hub for managing your organization's operational workflows. From this page, you can create new checklists, organize them by categories and tags, and monitor which checklists are currently published and active.

Feature Access & Breadcrumbs

The breadcrumb path at the top of the page helps you navigate back to the Dashboard.

Depending on your organization's settings, you may see either Process Checklists or Product Checklists as the active page. If the Process Checklists feature is not enabled for your organization, a "Feature Not Enabled" message will display instead of the management tools.

Action Bar

The action bar at the top of the page provides quick-access tools for creating, searching, and exporting checklists.

  • New Checklist Button: Click this button to open the checklist creation form.

    ⚠️ This button is only visible to users with checklist creation permissions.

  • Search Bar: Type in this field to filter the checklist list by name in real-time.
  • Export Visible to Excel: Downloads the currently displayed table data into an Excel spreadsheet. This button is disabled if there are no checklists or templates available in the list.
  • Toggle Filters Button: Expands or collapses the advanced filters panel.

Filters Panel

Click the toggle button on the far right of the action bar to expand the filters panel. This panel allows you to narrow down long lists of checklists:

  • Category: A multi-select dropdown that filters the table to show only checklists belonging to the selected categories.
  • Tags: Filter checklists by selecting specific tags or excluding certain tags from the view.

Checklists Tabs & Table

The main section of the page organizes your checklists into tabs (such as Checklists, Templates, and Tags).

Under the Checklists tab, you will find a table listing all configured checklists with the following columns:

  • Checklist: Displays the name of the checklist. Click this column header to sort the list alphabetically.
  • Frequency (Repeat Icon): Indicates how often the checklist must be completed (e.g., daily, weekly, monthly). Click to sort by frequency.
  • Published Status (Checkmark Icon): Displays whether the checklist is published and active. Click to sort by published status.
  • Alerts Enabled (Alert Icon): Indicates whether notification alerts are enabled for the checklist. Click to sort by alert status.
  • Reminder (Reminder Icon): Shows whether a reminder is configured for the checklist. Reminders trigger automated emails to operators or admins before or after the scheduled execution time, ensuring the checklist is not missed.
  • Authorized (Authorized Icon): Indicates whether the checklist is private/restricted. Authorized checklists are not public — only permitted users can access and execute them.
  • Issue Tracker (Issue Tracker Icon): Shows whether the Issues Tracker feature is enabled for the checklist. When enabled, specific users are designated as Issues Owners who are assigned to resolve issues flagged during checklist execution.
  • Has Tags (Has Tags Icon): Indicates whether tags have been assigned to the checklist. Tags help administrators organize and categorize checklists across the platform for structured management.
  • Revision(Revision icon): Displays how many times the checklist has been edited. The revision count increases with each update
  • Modified By(Modified by icon): Shows the name of the user who last made changes to the checklist.
  • Last Modified(Last Modified icon): Displays the date and time when the checklist was most recently updated.
  • Created By(Created By icon): Shows the name of the user who originally created the checklist.
  • Launch Date(Launch Date icon): Indicates the date from which the checklist becomes available for execution.

Create a New ChecklistClick New Checklist, enter a required Name, toggle Is Template if needed, set the Sample Size (if creating a Product Checklist), and save.
Search ChecklistsType your search query into the search bar to filter the list in real-time.
Filter by CategoryExpand the filters panel, click the Category dropdown, and select your desired categories.
Export to ExcelClick Export Visible to Excel to download the currently filtered table data.
Sort the TableClick any sortable column header (such as Checklist Name, Frequency, or Published Status) to toggle ascending or descending order.

Tips

  • Use Templates for Consistency: If you have checklists that share a similar structure, create them as templates first. This allows you to quickly clone and deploy them across different departments.
  • Keep Filters Collapsed: To maximize your screen space while browsing checklists, keep the filters panel collapsed when you do not need active filtering.
  • Check Feature Activation: If you cannot see the Process Checklists page, contact your system administrator to ensure the feature is enabled for your organization's account.
